Donor Relations Manager-Board Liaison

Position Summary:

The Donor Relations Manager – Board Liaison’s top priority is to support the needs and stewardship of the Houston Board of Directors and the Development Team. The individual is responsible for and coordinates projects related to Houston’s donors, and the Houston Regional Board of Directors, ensuring accuracy and reporting are complete. The position will ensure that the VP of Advancement’s priorities and scheduling are administratively supported and meet the Development Department’s broader needs.

Essential Functions, Responsibilities, and Activities:

Greater Houston Board of Directors Administrator

Acts as the primary two-way liaison for all group communications related to the Houston Board of Directors and its various committees. This includes effective, initiated communication related to:
• The coordination of meetings (including taking minutes, preparing and distributing materials)
• Gift tracking
• Conducting research & gathering feedback
• Meeting attendance and other board-related activities and accountability
• Board Stewardship and Engagement

Greater Houston Development

Manage Greater Houston’s donor and prospect information: ensure the accuracy of donor records as deposits are made; perform proactive weekly database clean-ups to ensure accurate records; provide mailing lists and donor records as requested.

Support the VP of Advancement and their corresponding Development Team with administrative management related to calendared meetings, appointments, and following up on leads.

Support the management of Matching Gift and Volunteer Involvement Grant programs for Greater Houston.

Provide a daily priority report to the VP of Advancement with action items for any follow-up that is needed per request.

Responsible for deposits, logistics, and other administrative duties.

Provide coverage for Houston’s Office Operations during key leadership absences

Houston Market President and Vice Presidents
• Create donor correspondence and ensure accurate and timely distribution of donor communications on behalf of the Houston President and Vice Presidents
• Ensure timely and accurate completion of key administrative responsibilities, including credit card reconciliation, mileage reporting, and coordination of travel logistics in support of Houston leadership

Monday– Thursday: On Site
Friday: Remote

Education, Experience, and Other Requirements

• Associate’s degree; Bachelor’s degree in business administration, communication, or a related field preferred
• Two years in an administrative or other clerical position serving the general public as well as employees of the organization
• Verifiable work experience with punctuality and regular attendance
• Bilingual English/Spanish skills are highly preferred
• Working knowledge of multi-line phone system
• Excellent telephone etiquette skills
• Database and software experience and capability to learn other software as needed (ie. Salesforce, OnBoard or other Board Software)
• Intermediate level proficiency in MSWord, Outlook, Excel, and PowerPoint, including keyboard skills of 45 words per minute, error-free
